What Should a Creator Rights Register Include?

Rights Management

A creator rights register is a practical list of what was used in each meaningful upload, where the proof is stored, and who can respond when a notice arrives. It turns a stressful copyright claim into an evidence exercise.

What to record for each upload

Field Why it matters
Video title and URL Identifies the at-risk content
Upload and sponsor dates Ties to deadlines and payments
Raw-file and project location Enables preservation before editing
Editor and contributor details Establishes who created what
Music, footage, image and font asset list Maps every third-party element
Licence copy and expiry Proves your right to use each asset
Invoice and receipt Commercial evidence of acquisition
Provider terms and account details Historic terms that applied at download
Brand-supplied assets Identifies sponsor-provided elements
Rights-manager and whitelist contacts Enables proactive Content ID management
Approval records Evidence of sponsor or brand sign-off
Content ownership and reuse rights Clarifies who can use what
Claims and response outcomes Builds learning for future uploads
Authorised responder Single point of contact during incidents

Why keep historic licence terms

A library’s current terms for a subscription may not be the terms that applied when you downloaded an asset. Keep the version, receipt and account details that prove the historic right. If a claim arrives months later, the evidence must reflect the terms at the time of use.
